Quick tips for Soft phones

1.      Your Number is not a direct dial number from outside the district. You can give your number out to patrons as your schools main number (376- 2448) and the patron can then enter your extension (6504) to dial you at the voice prompts.

2.      You can dial any number with in the district by dialing the 4-digit extension. For example – to call the admin office you only need to dial 2461 not 9 376-2461.

3.      Calls can be placed by simply dialing the number on your keyboard and hitting enter or clicking on the dial button, You must dial a 9 for all outside of district calls.

4.      The beginning pass code for voice mail is 12345 and then follow the tutorial message to set up you voice mailbox. If you have been locked out of your voice mailbox due to you putting in the wrong pass code you will have to submit a work order through the media directors for us to unlock your account.

5.      Voice mail pass codes are Trivial – they cannot be the same as your extension nor can it contain the same number more than 2 times in a row and it must be at least 3 characters in length.

6.      You will be asked periodically to change your pass code for voicemail by the system.

7.      You can access you voice mail from your phone by clicking on the envelope icon in the top left tool bar of your phone. (As long as the option is set for 300 – see diagram on attached page). If the box is red you have new voice mail, if not then you do not have any new messages. 

     You can also access your voice mail by dialing 300 from any phone in the district – then press * sign when the voice prompt ask for the password and following the instructions of entering your ID (which is your extension number) followed by the # sign and then entering your pass code followed by the # sign.
     You can also access your voice mail from outside of the district by dialing the schools main number (376-2448) and then press * when you here the voice prompts and following the instructions of entering your ID (which is your extension number) followed by the # sign and then entering your pass code followed by the # sign.

8.      There are two directories on your phone, your personal directory – which you can edit and the district directory – which contains all the numbers that have been entered into the system.  You can only add names, numbers and information to your personal directory by click the add button at the bottom of the directory.

9.      You can access the directories by clicking on the phone book icon.

10.    Call log – this feature logs all incoming and outgoing calls.

11.    Microphone mute button can be used to mute the microphone but the speaker still works.

12.    You are provided a headset by the district, take care of it, replacements will be limited.

13.    Student use of phone is prohibited without proper teacher supervision.

14.    Your phone will only ring through your headset, if you miss a call it will go to voicemail.

15.    If your phone is not running then all calls will go straight to voice mail.

16.    If your phone software is minimized then the software will flash to the front of the screen if an incoming call comes in.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Click on the Settings button to make changes to the properties of your phone such as the userid and passcode (figure 3) or whether or not the phone goes to voice mail or you get to answer it (figure 2)

After you input your username and password press the update button. A box will pop up, if you have put in the right user name and password you should be able to highlight your line and press OK. The phone will then show your line on it.  You should not have to do this any more unless you have a software glitch.

 

You may need to adjust your volume settings periodically, if you have an echo when you talk to someone try the following:  turn down your speaker volume control on the phone if that does not work try turning down your mic volume, it may be to load as well.
